How does the copier expense recovery system work?

Each time a user makes a copy, he/she must enter an Account Code and their User Code via copier control unit's keyboard.

No codes, no copies.

Once a copy is made, a record is stored - including the Account, User, number of copies as well as the time and date of the transaction. This data is periodically uploaded to your computer using the units Data Collection Program.

The Copy Audit product can be configured as a fully validating system, supporting an unlimited number of Client and User codes. Validation is optional with the Copy Audit System.

The ADD-4 Copier Expense Recovery System can be configured to validate up to 200 User codes and up to 3,000 Clients codes.  Validation is optional with the ADD-4 System.

Do your copier expense recovery systems require a dedicated P.C. to operate?

No.

Data from the ADD-4 unit is uploaded to your computer using the ADD4PC Data Collection Program which resides on your computer's hard drive. The ADD4PC Data Collection Program functions in Windows 95/98/NT/2000 or Windows XP operating systems.  ADD-4 data is uploaded via the serial port. 

Data from the Copy Audit unit(s) is immediately deposited in a shared folder on a network drive with each transaction. The Copy Audit unit is connected to your network via Ethernet connection, using TCP/IP protocol. The Copy Audit software operates any 32-bit Windows operating system.

How does the data from your system interface with my Time & Billing software?

The ADD4PC Data Collection Program for Windows provides dropdown options for the conversion of ADD-4 data into several preset ASCII formats for interfacing with the Timeslips, TABS, Juris,  ELITE, PCLaw, Legal Master and other Time & Billing programs.

Additionally, there is a User-defined export option that provides a great deal of versatility in creating unique ASCII export formats for the many other Time & Billing programs, called My Export.

Copy Audit data is exported to Time & Billing programs using user-defined export templates.

Please note that you may need to secure an interface program from your Time & Billing software vendor to facilitate the merging of data created in the export option.

A wide range of hard-copy reports can be produced - ranging from detailed to summarized data.

What support can I expect after purchasing your copier expense recovery system?

Service after the sale is very important to us.  As the manufacturer and distributor, we are able to quickly and efficiently handle any and all your needs.   Many answers to questions and troubleshooting issues can be found under Help & Support|Troubleshooting.

All Transaction Recovery Systems, Inc. equipment is fully warranted for 1 year from the date of installation.

At the expiration of the Warranty Period you may opt to secure a Maintenance Agreement covering all parts and labor. The Maintenance Agreement is $275/year/unit and includes a "loaner" system when warranted.

Alternatively, you may choose to pay retail prices on components and the applicable labor rate on an as-needed basis.

How do I  track print jobs sent from the desktop to my digital copier?

Transaction Recovery Systems offers Print Audit 5 to track print jobs sent from your workstation to your networked digital copier, network printer or even local printers.  This is done via a pop-up screen that prompts for Account information with each print job sent to the digital copier or printer. 

Print Audit 5 data can be exported into your Time & Billing program and/or hard copy reports for client billing.

Coupling walk-up control (using ADD-4 or Copy Audit) with the Print Audit 5 provides you with a complete solution for recovering the expenses related to photocopying and printing.

Can I charge different rates to different clients for copy expenses?

Yes. 

Simply select the applicable code from the client table and apply the desired rate. A standard default rate can apply for all others or each client can have an applied rate.
